Thank you for visiting HALO database (HALO DB) and reviewing our policy notices. HALO DB is hosted by the German Aerospace Center (DLR) and we take your privacy and the security of your personal data seriously. The information you provide to HALO DB will be used only for its intended purpose. We will protect your information consistent with the principles of the General Data Protection Regulation (GDPR) of the European Union (2016/679), the German Act for Telemedia Services ($5 TMG) and the German Federal Data Protection Act.
All servers and storage equipment of HALO DB is located in Germany. All data is held and computed inside DLR.
Purpose
HALO DB in this context is the web platform of a retrieval and long-term archiving system for scientific data. It facilitates the accessibility and exchange of these data. Licenses may apply and access rights are granted on a personal basis. The names and affiliations of the creators, depositors, and bailees of the data are essential for scientific reproducibility and managing intellectual property. Personal data may be part of primary scientific data (e.g. names of the creators), or of essential metadata (e.g. name of the depositor). By uploading data to HALO DB, you agree to the permanent archiving of your primary scientific data and any related metadata needed for reproducibility.
General
The website can be viewed and used without entering your personal data. Registering and providing personal details (such as email address, name, affiliation) to HALO DB is strictly voluntary. By doing so, you are giving HALO DB permission to use the information for the intended purpose. All information you provide in forms and the files you might upload to our site will be stored. If you change personal details of your account, the old information will be kept as well.
To set up a personal account, at least your email address is required. Access to primary data is granted on a per-mission basis. When registering for a specific mission the disclosure of your first name, surname and institute is required. Optionally you may provide additional data. The mandatory data will be used for verification and authorization purposes, and will be shown in different places on our website. However, only registered users may see the names and affiliations of other users.
If you do not want to give HALO DB permission to use your information, simply do not provide it. However, not providing certain information may result in HALO DB's inability to provide you with the information or services you desire.
Email
If you choose to provide us with personal information, through such methods as completing a form or sending us an email, we will use that information to respond to your message and to help us get you the information or services you have requested. After registration and verification your email address might be forwarded to other scientists to enable them to contact you.
Cookies
A cookie is a small file that a Web site transfers to your computer to allow it to remember specific information about your session while you are connected. Your computer will only share the information in the cookie with the Web site that provided it, and no other Web site can request it. HALO DB uses cookies for the administration of sessions, specifically for recognizing your browser type and for user authorization. The cookies of our website do not collect personal data about you and your usage. You may store a permanent cookie to disable our web analytics tool (see below). If you do not wish to have cookies stored on your machine, you can turn them off in your browser. However, this may affect the functioning of some HALO DB features.
Providing Information to Third Parties
The data you provided to HALO DB may be visible to other signed-in users. This is to facilitate scientific exchange, which is a central purpose of HALO DB. Apart from that we will not provide your personal information to others, unless you instruct us to do so for scientific exchange. DLR does not sell nor rent HALO DB users' names, addresses, email addresses or other personal information.
Application Log Files
For technical reasons, our servers and applications save personal details upon your visit to our websites in their log files. These data may include your IP address, date and time of your website visit, the requested service, and your email address (e.g. when using a contact form). However, these data are only used for the immediate provision of our services, for troubleshooting purposes or for attack prevention.
Automatically Collected Information
We wish to make our websites as appealing and comfortable for you as possible. To this end, analysis of statistical information relating to your utilisation of our websites and some technical details on the web browsers and computers of our online visitors is very helpful for us.
We employ the web analytics tool Matomo (formerly Piwik) for these purposes, which uses Cookies and JavaScript. We collect and temporarily store certain technical information about your visit for use in site management and security purposes. This information includes: anonymized internet protocol (IP) addresses, record of navigation through the site, software used and time spent, as well as similar information. This information is stored exclusively on DLR servers, will not specifically identify users and will be used internally for website traffic analysis only.

Your data Rights and Choices

Access and Update Personal Information
You have the right to access and edit your profile at any time. You also have the right to rectification in case your personal data is incomplete or inaccurate. To update your information, log in to your account and use the editing tools in your account settings. If you require assistance, please contact us at halo-db [at] dlr.de.
Right to be forgotten
You may request the deletion of your personal account and usage data from HALO DB anytime by email to halo-db [at] dlr.de.
Data Portability
You have the right, at any time, to request and receive the personal information that you have provided to HALO DB. We will provide you with your information, in a machine-readable format, so that you can make use of it in other contexts.
Request That We Stop Using Your Information
Even if you have previously consented to our Terms of Service and Privacy Policy, you have the right, at any time, to change your mind and object to the collection, use, and processing of your personal information. Additionally, you are under no contractual obligation to continue to provide any information to HALO DB. However, we require certain information in order to provide you with our services. Therefore, if you disagree with the terms of this Privacy Policy or our Terms of Service, you should stop using HALO DB, and contact us so that we may delete your personal information that is not essential for scientific reproducibility.
Scientific Data
It is a central purpose of HALO DB to guarantee long-term archiving of scientific data. As soon as you upload primary data, those may be used by other scientists. In order to guarantee the reproducibility of any results based on your data, all versions of your uploads will be kept permanently. It is not foreseen to delete any primary scientific data from HALO DB. Please note that your name and affiliation may be integral parts of primary scientific data and therefore might be associated with them permanently. By uploading primary scientific data to HALO DB, you agree to their permanent archiving.

You may update primary scientific data uploaded by you, anytime. Only the latest version will be visible to other users. Older versions can be retrieved by request to halo-db [at] dlr.de.

You can disable access to your primary scientific data by other users, anytime. This is the way to deal with erroneous data.

Please contact halo-db [at] dlr.de on how to deal with other, unforeseen situations (e.g. deleting of redundant uploads, transferring ownership of data, ...)
Opt-Out of Web Analytics
You have two independent options to object to the collection of data by our Matomo server:

(1) Activate your browser's Do-Not-Track setting. As long as this setting is active, our Matomo server will not store any data about you. Note: As a rule, the Do-Not-Track setting is only valid for the specific computer and the specific browser in which you activate this setting. Should you use more than one computer or browser, please make sure to activate the Do-Not-Track setting on all of them separately.

(2) You can also use our Opt-Out function. Therefore, please untick the box below to stop the collection of data or to activate it again. As long as the box is deactivated, our Matomo server will not store any data about you. Note: For the Opt-Out function we need to save a special recognition cookie to your browser. If you delete this cookie or use another computer or browser, please make sure to object to the collection of data again on this website.

Acceptance of Privacy Policy

By using the HALO DB Services, you signify your acceptance of this Policy. If you do not agree or are not comfortable with any policy described here, your only remedy is to discontinue use of HALO DB. This notice may be updated without prior notice to you to reflect changes in our information collection, use, and security practices. If the notice is updated, we will post a new effective date to let you know when the notice was most recently updated. Your continued use of any portion of the HALO DB website, or any related HALO DB Services following notification or posting of such changes will constitute your acceptance of those changes. We explicitly reserve the right to modify this privacy policy at any time, so please review it frequently.
